Office Manager Duties:

  • Responsible for the successful day-to-day operations of all office facilities.  Manages the maintenance of office space and office equipment including the layout, arrangement and housekeeping of office facilities (such as cleaning, recycling, heating & air, water, general repairs, moves, cubical set-up, etc.) acting as the alternate liaison with the building's landlord.
  • Implements appropriate safety programs, policies and procedures to ensure that all employees are trained as needed to ensure a safe & healthful work environment. 
  • Responsible for overall security (key, codes, alarms, etc.) of all facilities and serves as alternate contact for alarm company emergency calls.
  • Plans for and negotiates the purchase of furniture, equipment, etc. in accordance with company purchasing policies and budgetary restrictions
  • Partners with Director of IT to manage company-wide IT and related hardware/software needs (including computer, email, phone, fax, copier, scanner technologies) by acting as the alternate liaison with our external technology vendors.
  • Manages the technology needs of existing and new employees, such as remote employee set up, cell phone contract negotiation and maintenance, meeting set up, etc.
  • Manages the inventory of all office supplies, including departmental office supplies, conference room supplies, bathroom supplies and kitchenette/coffee bar supplies
  • Responsible for the on-boarding of all new hires (e.g., collecting new hire forms to submit to Human Resources and processes the I9 form)
  • Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requirements

  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions

 

FSO Duties:

 

        Manage the Industrial Security Programs of the S4 office in Colorado Springs and supports the Corporate security officer ensuring compliance with the National Industrial Security Program (NISPOM)

        Implement DOD procedures for classified document control, visitor control, visit requests, personnel security and physical security

        Supervise and direct security measures necessary for implementing applicable requirements of the NISPOM and related Federal requirements for classified information

        Direct and coordinate activities of personnel in revising or updating security measures in accordance with new or revised regulations

        Conduct security education awareness at new hire orientations

        Hold annual security training for all employees (cleared and un-cleared) and maintain training attendance records

        Conduct new employee initial security briefing that includes threat awareness, defensive security, security classification system, reporting obligations and requirements, and security procedures and duties applicable to the employee's job

        Interpret personnel security regulations, policies and procedures to provide guidance and assistance to supervisors/managers

        Perform security checks of classified safes and FSO office, then maintain end of day

        Measure protection procedures for document control in handling, storing, safekeeping, and destroying information

        Execute the Classified Information Nondisclosure Agreement (NDA) (SF 312) before employees have access to classified information

        Maintain visitor control logs and direct the receptionist on proper procedures of visitor control and handling of incoming mail

        Verify a visitor's need-to-know if a visit requires access to classified information

        Provide proper procedures and physical security measures for classified meetings

        Obtain and brief defensive security, threat awareness, and other education and training information and material from Corporate Office or other sources

        Capable of changing combinations of safes and cypher locks

        Conduct self-audits and coordinate with Corporate FSO to facilitate inspections/audits of security programs and systems

        Conduct investigations of any security incidents and complete a report of any violations

        Prepare reports with various government customers

Qualifications:

  • Active Secret clearance
  • BS Degree
  • 3-5 years of hands-on experience in Security
  • 3-5 years of hands-on experience in office management
